This policy applies to covenant-rentals.com, rental requests, electronic agreements, reminder emails, owner-management tools, and the Covenant Rentals connection to QuickBooks Online.
Who is responsible for your information
Schultz Covenant LLC, doing business as Covenant Rentals (“Covenant,” “we,” “us,” or “our”), controls the information collected through this website. Covenant operates in Lapeer County, Michigan. Questions, access requests, correction requests, and deletion requests may be sent to schultzcovenantllc@gmail.com or made by calling or texting 810-358-9787.
Information we collect
- Contact and reservation information: name, phone number, email address, requested equipment, dates and times, delivery or job-site address, pickup location, notes, pricing selections, and reservation status.
- Agreement and identity information: legal name, home or business address, authorized operators, driver’s-license number, issuing state, expiration month, typed initials, signature, acknowledgments, signing time, IP address, browser or device information, and an audit record of agreement and license access.
- Transaction and accounting information: invoice identifiers, invoice number, amount, balance, delivery charges, damage-waiver selection, tax, email-delivery status, and related customer information needed to prepare and send a QuickBooks invoice. Covenant does not collect payment-card or bank-account numbers through this website.
- Website-use information: a randomly generated session identifier, page and feature interactions, general device category, referral source, campaign labels, referring website domain, equipment viewed, and rental length selected.
- Owner-entered business records: calendar blocks, maintenance or service entries, internal notes, and customer details entered by an authorized owner while managing rentals.
The website requests the number, state, and expiration month only. The physical license is compared at handoff. License values are excluded from customer emails and the signed PDF.
Sources of information
We receive information directly from customers and authorized operators, from the owner managing a reservation, automatically from the browser during website use or electronic signing, and from service providers used to complete a requested transaction. When QuickBooks is connected, we may read limited customer and product-or-service records from the company’s QuickBooks Online account to find or create the correct customer and invoice items.
How we use information
- Receive, review, confirm, schedule, deliver, and administer equipment rentals.
- Communicate about requests, confirmations, agreements, reminders, changes, returns, and support.
- Verify identity and authorized use, document consent, enforce rental terms, and address loss, damage, safety, or legal claims.
- Calculate estimates, create and email invoices, maintain accounting records, collect amounts due, and comply with tax obligations.
- Measure traffic sources, equipment interest, reservation demand, and website performance so we can improve the business and customer experience.
- Protect the website, owner dashboard, customers, equipment, and connected accounts from misuse, unauthorized access, fraud, and security incidents.
- Comply with applicable law, court orders, insurance requirements, and legitimate government requests.
We do not sell personal information, rent customer lists, or use driver’s-license information for advertising. We do not use QuickBooks data for advertising or unrelated profiling.
QuickBooks Online data
The Covenant Rentals owner may authorize the website to connect to Schultz Covenant LLC’s QuickBooks Online company using Intuit’s OAuth process. The connection is used to load active products and services, find or create a customer, create an invoice from a signed rental, email that invoice, and display limited invoice status information in the private owner dashboard.
The website stores the QuickBooks company identifier, selected item mappings, encrypted access and refresh tokens, and limited invoice metadata. Intuit app credentials and OAuth tokens are encrypted before storage. The public website never displays those credentials or tokens. The website also maintains sanitized API diagnostics containing the request category, time, response status, Intuit troubleshooting identifier, retry number, and a redacted error summary. Request and response bodies, credentials, tokens, driver’s-license information, and full financial details are not written to those diagnostics. Disconnecting QuickBooks deletes the locally stored access and refresh tokens and disables further API access; invoices and accounting records already created in QuickBooks remain in the QuickBooks company and are governed by Intuit’s terms and privacy practices.
Security safeguards
We use safeguards appropriate to the nature of the information, including HTTPS transmission, owner-only management access, encrypted driver’s-license numbers, encrypted QuickBooks credentials and OAuth tokens, hashed private signing tokens, limited display of license information, automatic hiding of revealed license values, access logging, and separate storage of completed agreement PDFs.
No system can guarantee absolute security. Customers should protect private signing links and promptly notify us if they suspect unauthorized access. Do not email or text a driver’s-license number, password, payment-card number, or QuickBooks credential to Covenant Rentals.
Retention and deletion
- Driver’s-license information: the encrypted full number, issuing state, last four digits, and expiration value are automatically deleted 30 days after the scheduled rental term ends. No ID image is collected. Agreement audit entries may remain without the license values to document that signing and access events occurred.
- QuickBooks credentials: locally stored OAuth access and refresh tokens are deleted when the owner disconnects QuickBooks. Invoice metadata and accounting records may be retained as business, tax, payment, or legal records. Records created inside QuickBooks remain there until handled through the QuickBooks company.
- QuickBooks API diagnostics: sanitized request and error records are automatically deleted after 90 days. They exclude request bodies, response bodies, credentials, tokens, driver’s-license information, and full financial details.
- Reservations, signed agreements, communications, invoices, and condition records: retained for as long as reasonably needed to perform the rental, maintain business and tax records, resolve disputes, support insurance or legal claims, and meet legal obligations, then deleted or de-identified when no longer needed.
- Website analytics: session and event records are retained for business-performance analysis and may later be aggregated or deleted when no longer useful. The browser’s session identifier and attribution information are stored only for the browser session.
A deletion request does not require us to erase information that must be kept for taxes, accounting, a completed contract, fraud prevention, security, legal claims, or another lawful obligation. When deletion is not available, we may restrict information to those required purposes.
Your choices and requests
You may contact us to request access to, correction of, or deletion of personal information associated with you. We may need to verify your identity before completing a request. You may also ask for a paper rental agreement, withdraw consent to future electronic records, decline optional marketing communications, or request that inaccurate reservation information be corrected.
Transactional messages concerning an active or past rental—including confirmations, signing requests, invoices, reminders, safety notices, and account or legal communications—are not marketing and may still be sent when necessary. Browser controls may clear session storage, but doing so can reset attribution and session analytics.
Children’s privacy
The rental and signing services are intended for adults and are not directed to children under 18. We do not knowingly collect personal information from a child through a rental request. If you believe a child submitted information, contact us so we can review and remove it when appropriate.
Policy changes
We may update this policy when our services, integrations, legal requirements, or data practices change. The effective date at the top shows the current version. Material changes will be posted on this page and will apply prospectively unless law requires otherwise.
